Job Description

Responsibilities • Executive Assistant Duties • Manage the Managing Director's calendar, appointments, and meeting schedules • Coordinate travel arrangements, accommodation bookings, and itineraries • Prepare meeting agendas, presentations, and follow-up action items • Manage email inboxes and prioritize correspondence • Draft professional business correspondence and communications • Assist with administrative projects and ad hoc business tasks • Handle confidential business information with discretion • CRM & Data Entry Responsibilities • Enter and maintain accurate customer, prospect, and company information in Zoho CRM • Update lead, contact, opportunity, and account records, including job and quote details • Perform data cleansing and manage duplicate records • Upload and organize documents, site notes, and communication records • Generate CRM reports and dashboards as requested • Record customer interactions and sales activities accurately • Maintain CRM data integrity to support sales and operational activities • Conduct online research to enrich and verify customer records, including civil, construction, and utility contacts • Monitor CRM workflows and forms, identifying missing or incomplete information • Administrative Support • Create and maintain spreadsheets, reports, and trackers • Prepare and format business documents • Support invoicing, record keeping, and administrative processes • Coordinate with internal team members, subcontractors, and external stakeholders as required • About the Client • Our client is an established Australian specialist delivering high-quality excavation and infrastructure support solutions across major construction, utilities, and industrial projects.
