About The Role The Admin Officer is a vital operational role responsible for managing medical invoicing, health insurer reconciliations, and dedicated administrative support for Parramatta Medical Centre. Working alongside the Practice Manager, this role ensures that all clinical billing is accurate, claims are successfully processed, and day-to-day repetitive administrative tasks run seamlessly. This role requires a highly reliable, process-driven professional with a background in medical billing or administration who thrives on executing tasks with exceptional accuracy and independence. Please note: This is a dedicated back-office role with no direct patient interaction. Key Responsibilities Invoicing & Health Insurer Liaison Oversee the clinic's invoicing processes and process critical medical billing accurately to meet strict billing targets. Liaise directly with Australian health insurers to resolve payment queries, follow up on claims, and secure timely payments. Account Reconciliation & Administration Conduct precise reconciliation of accounts and ensure billing data is strictly maintained to achieve zero backlogs. Execute reliable, process-driven administrative tasks to support the clinic's overall daily operations. Liaise regularly with the Practice Manager to track daily workflows, report on billing KPIs, and support operational needs. Systems Security & Compliance Navigate and manage data strictly within the clinic's designated platforms, utilizing the Microsoft 365 suite (Excel, MS Teams, and Co-pilot) and "Best Practice" medical software. Strictly adhere to data privacy protocols and complete mandatory IT setup and security orientations with the external IT support team prior to onboarding. Qualifications 1–5 years of proven experience in a medical billing, invoicing, or account reconciliation capacity, with a strong preference for backgrounds in Australian healthcare or medical BPO settings. Exceptional written and verbal English communication skills (professional proficiency) for clear, effective internal correspondence and insurer liaisons. High level of proficiency in Microsoft Office 365 (specifically Excel and Microsoft Teams) and an aptitude for utilizing AI tools like MS Co-pilot. Prior experience or a strong technical capability to quickly master specialized Australian medical practice management software (specifically "Best Practice"). Highly independent problem-solving mindset with exceptional organizational skills and the ability to manage repetitive tasks with perfect accuracy.
