We are currently hiring an Invoice \& Billing Specialist (Virtual Assistant) with proven experience in invoicing, billing, accounts receivable, or bookkeeping. This role is ideal for someone who is highly organized, detail-oriented, and confident in managing billing processes, maintaining accurate financial records, and ensuring timely invoice processing in a fast-paced remote environment. Job Role The Invoice \& Billing Specialist will play a key role in managing client invoicing, monitoring accounts receivable, maintaining accurate billing records, and supporting day-to-day financial operations. This role includes preparing invoices, reconciling financial records, tracking outstanding payments, and assisting with monthly financial reporting while working closely with internal teams and management. Job Responsibilities Billing \& Invoicing Prepare, generate, and issue accurate client invoices Review billing information for completeness and accuracy Verify timesheets, purchase orders, project milestones, or supporting documents before invoicing Process recurring and one-time invoices according to billing schedules Maintain organized billing records and supporting documentation Resolve billing discrepancies in a timely manner Accounts Receivable \& Financial Operations Monitor accounts receivable and outstanding invoices Follow up on overdue payments in a professional manner Record payments and update customer account balances Reconcile billing records with payment transactions Assist with month-end billing and financial reporting activities Support bookkeeping and financial data entry tasks Administrative Support Maintain organized digital financial records Prepare billing reports and account summaries Assist with financial reconciliations and data verification Coordinate with internal departments regarding billing concerns Help improve billing workflows and documentation processes Support management with administrative and financial reporting tasks Job Qualifications Previous experience in invoicing, billing, accounts receivable, bookkeeping, or a related financial support role Strong understanding of invoicing processes and accounts receivable Excellent numerical accuracy and attention to detail Strong organizational and time management skills Excellent written and verbal English communication skills Ability to handle confidential financial information with professionalism Preferred Qualifications Experience using accounting software such as QuickBooks, Xero, FreshBooks, or similar platforms Familiarity with payment platforms such as Stripe, PayPal, Wise, or comparable systems Strong Microsoft Excel or Google Sheets skills Knowledge of bookkeeping principles and financial record management Experience with ERP systems, CRM billing integrations, or multi-currency invoicing is an advantage Degree or certification in Accounting, Finance, Business Administration, or a related field is a plus Job Requirements Experience using accounting or billing software Proficient in Microsoft Excel or Google Sheets Reliable computer (Intel i5/i7 or equivalent) Noise-canceling headset Minimum 50 Mbps wired internet connection Work Schedule Full-time remote position Night shift: 11:00 PM – 8:00 AM Philippine Time Important: We do not accept applicants who are currently employed full-time, seeking part-time work, on floating status, or currently rendering a notice period. Pay: Php25,000\.00 - Php40,000\.00 per month Benefits Health insurance Work from home Work Location: Remote
