The financial discipline you build here is what funds and protects irreplaceable buildings. Role Purpose You own the shift. From the moment you log on to the moment you hand over, you are the single point of contact for members, the coordinator for vendors, and the person responsible for the Facilities Module being an accurate picture of reality. We want someone who is calm when the phone rings at midnight, obsessive about the details that stop small problems becoming big ones, and disciplined enough to do the same hourly checks with the same care at 1am as at 9am. Above all we want agency: you close loops, you don't hand the same issue over three shifts in a row, and nobody above you has to re-check whether the activity list is right. What You Will Own The shift. From log-on to handover, you are Figment's single point of contact for members. You hold the phone and messaging lines, you stay reachable, and you pick up. Member issues, end-to-end. Whatever comes in — an emergency at midnight or a minor fault at noon — you triage it, own it, and see it closed. Nothing sits unassigned and nothing gets handed over twice. Vendors. You coordinate the external partners who fix things, hold them to timelines, and escalate cost and scope to Facilities when it exceeds your call. An accurate operating picture. The Facilities Module and our tracking sheets are only as good as you keep them. Scheduled activities, task status, member records — you make sure what's on screen matches what's actually happening across the properties. Member communications. Scheduled activity notifications, vendor access details, and the day-to-day replies that shape how members experience Figment. Timing and accuracy matter, because access codes and appointments ride on them. Knowing what isn't yours. Leasing questions, late check-out requests, handyman work — route them cleanly to the right team. Judgment about when to resolve and when to escalate is a core part of the job. A clean handover. Post your shift summary, close out pending items, file your timesheet, and bring recurring problems to the daily ops meeting instead of passing them along. Use AI and digital tools. Facilities Module, MessageBird, BizPhone, Google Workspace and Claude — use them to cut the manual checking out of the shift, not to add to it. What We Are Looking For 1–3+ years in hospitality operations, facilities coordination, a service desk, front office, or a comparable customer-facing operations role. Genuinely available for rotating shifts, including nights that end at 2am, weekends and public holidays. Please only apply if this works for your life. Excellent written and spoken English — most member contact is written, and tone matters. Strong comfort with Google Sheets and running several platforms at once without dropping threads. Confident dealing with external vendors: chasing, scheduling, and holding them to a timeline. Sound judgment on when to solve and when to escalate. Key Competencies (Top 5) Composure Under Pressure. A member is upset, a vendor isn't answering, and it's 11.40pm. You stay warm, stay clear, and work the problem. You don't go quiet and you don't over-promise. Process Discipline. You do the hourly check properly on the last hour of the shift, not just the first. You sync the module every time. The tracking sheets are accurate because you kept them that way, not because someone audited you. Agency & Initiative. You move first. You spot the gap, the risk, or the better way and act without being told — and you don't hand the same unresolved item to the next shift twice. Detail Under Repetition. Three days of activities, checked line by line, every single day. You catch the wrong door code, the vague title, the date that slipped. That catch is the whole job. Clear Handover & Communication. Your shift summary tells the next person exactly what they're walking into. Vendors, Facilities and MX always know where a task stands because you told them. Nice to Have Experience with ticketing or facilities management platforms. Serviced apartment, coliving, hotel front office, or property operations background. Vendor management or procurement exposure. Familiarity with heritage or conserved buildings and their quirks.
