We are looking for a Documentation Specialist who can turn complex information, workflows, and subject-matter expertise into clear, structured, professional documentation. The ideal candidate is a strong writer and researcher who can work with clients and subject-matter experts to understand how a process, product, or operation works and translate that knowledge into documentation that is accurate, organized, and easy to follow. Key Responsibilities Create, organize, and maintain professional documentation for different client projects. Conduct discovery and information-gathering sessions with clients and subject-matter experts. Turn interviews, notes, recordings, existing files, and raw information into structured documentation. Develop documents such as: Standard Operating Procedures (SOPs) Process documentation Policies and procedures Work instructions Operations manuals Employee and training documentation Technical documentation User guides and manuals System documentation Knowledge base articles Map business processes and document step-by-step workflows. Identify missing, outdated, inconsistent, or unclear information. Organize large amounts of information into logical document structures. Create document outlines, templates, tables, checklists, and supporting materials. Collaborate with technical specialists, project managers, designers, and other team members when necessary. Revise documentation based on client and internal feedback. Maintain document naming, version control, formatting, and quality standards. Proofread documents for grammar, consistency, clarity, and accuracy. Ensure final documentation is professional and ready for client delivery. What We're Looking For Excellent written English and editing skills. Strong ability to simplify complex information. Experience in technical writing, documentation, SOP writing, process documentation, business writing, or a related field. Strong interviewing and information-gathering skills. Ability to ask the right questions when information is incomplete. Strong research and fact-checking abilities. Excellent attention to detail. Ability to understand unfamiliar industries, systems, and workflows quickly. Strong organizational and information-architecture skills. Comfortable managing multiple documents and deadlines. Ability to work independently while collaborating with specialists. Preferred Experience Experience creating documentation for one or more of the following is an advantage: Software and technology API and developer documentation Business operations Construction Architecture Healthcare or medical organizations Compliance and regulated industries Training and employee onboarding Internal processes and knowledge management Industry expertise is helpful but not required for every field . Specialized projects may involve collaboration with a subject-matter expert. Tools Experience with any of the following is an advantage: Microsoft Word Google Docs Notion Confluence Microsoft Visio Lucidchart Miro Canva Documentation or knowledge-base platforms AI-assisted research and documentation tools Sample Assignment As part of the hiring process, shortlisted candidates may be given raw notes, an interview transcript, or an undocumented workflow and asked to turn it into a short professional SOP or process document.
