About The Role We are seeking a highly organised, proactive, and detail-oriented Executive Assistant to support the Managing Director of Property Management and the leadership team. This is more than a traditional EA role. You'll become a trusted right-hand partner, helping manage priorities, improve workflows, coordinate key business activities, and support financial reporting processes that drive business decisions. Key Responsibilities Executive Support: Manage complex calendars, meetings, appointments, and travel arrangements. Prepare meeting agendas, reports, presentations, and executive briefing materials. Draft and manage professional correspondence, emails, and internal communications. Coordinate with accountants, advisors, suppliers, and external stakeholders. Manage expense claims and credit card reconciliations. Support executive priorities and ensure deadlines and commitments are effectively managed. Handle administrative tasks, document preparation, and business support activities. Finance Reporting \& Administration: Maintain and update recurring financial reports and KPI dashboards. Support month-end reporting activities and board reporting preparation. Manage revenue and expense tracking spreadsheets and reporting templates. Assist with CRM administration and data management. Ensure business information and financial data remain accurate, organised, and accessible. Help identify opportunities to improve reporting efficiency and automate repetitive tasks. Process Improvement \& Coordination: Build and maintain systems that improve efficiency and scalability. Review existing workflows and recommend process improvements. Support cross-functional coordination across leadership, operations, and finance teams. Create documentation, templates, and procedures to support business operations. Help drive consistency and accountability across recurring administrative processes. Other Responsibilities Complete additional tasks and projects as assigned by leadership. Maintain confidentiality and professionalism in handling sensitive financial and executive information. Stay proactive in identifying opportunities to improve systems, reporting, and support processes. Contribute to a collaborative and high-performing remote team environment. About You Proven experience as an Executive Assistant, Senior Administrator, Operations Coordinator, or similar role. Experience supporting business owners, executives, or senior leadership teams. Strong organisational and time management skills. Advanced Excel or Google Sheets skills. Ability to create reports, dashboards, trackers, and business documentation. Excellent written and verbal communication skills. Strong attention to detail and follow-through. Ability to work independently and take initiative. Comfortable managing multiple priorities in a fast-paced remote environment. Experience with HubSpot, Monday.com, or similar CRM/project management systems is highly regarded. Exposure to finance, bookkeeping, reporting, or accounting support is advantageous but not essential. Previous experience supporting Australian businesses, executives, or clients is highly regarded.
