As a Client Services Coordinator , you will be the operational backbone of a dynamic Australian public practice accounting firm. In this role, you will take complete ownership of the administrative lifecycle-keeping cross-border client relationships on track, structural compliance obligations in check, and accounting workflows running like clockwork. Operating completely remote on a stable dayshift, this position is custom-built for a highly structured administration professional who thrives in a fast-paced environment, navigates public practice software with ease, and takes pride in delivering an exceptional, seamless client experience. Your Impact Welcome Aboard: Manage end-to-end client onboarding frameworks, including the gathering and verification of Anti-Money Laundering and Counter-Terrorism Financing ( AML/CFT ) compliance documentation to ensure an institutional foundation. Flow State Mastery: Coordinate, track, and update job progress within Xero Practice Manager ( XPM ), keeping onshore partners and the offshore production team fully aligned, accountable, and clear of workflow bottlenecks. Bridge Builder \& First Response: Serve as a key corporate liaison between international clients, firm partners, and regulatory bodies such as the Australian Taxation Office ( ATO ). Answer incoming inquiries professionally and manage the centralized corporate pipeline. Structure Keeper: Maintain Australian Securities and Investments Commission ( ASIC ) compliance logs, including processing formal corporate adjustments, executing annual company reviews, and establishing new business entities with absolute accuracy. Corporate Documentation \& Digital Signatures: Draft critical professional correspondence including formal engagement letters, board minutes, corporate governance structures, and ethical clearance communications. Set up, monitor, and execute secure online signature pipelines via DocuSign . Invoice Intelligence \& Mail Master: Prepare, validate, and issue accurate client invoices on behalf of the accounting team to support firm billing cycles. Efficiently process, tag, and distribute incoming client mail utilizing automated platforms like ATO Mate . What You Bring The Experience: Minimum 2 to 5 years of solid corporate administration or secretarial experience working directly within an Australian public practice accounting firm is required. You understand the unique compliance language, rhythms, and workflows of the AU accounting industry. Tech Stack Mastery: Practical, hands-on operational proficiency in Xero, XPM, ATO Mate, and FYI Docs , backed by an excellent overall command of the Microsoft 365 enterprise suite. Detail Detective: An exceptional, uncompromising eye for detail when handling complex statutory files, government correspondence, and corporate records, with a proven ability to resolve data discrepancies early.
