Executive Support Manage the CEO's calendar, appointments, and scheduling. Coordinate consultation requests, partnership meetings, and speaking engagements. Manage multiple executive email inboxes. Draft professional correspondence and respond on behalf of the CEO when authorized. Prepare daily and weekly executive schedules. Coordinate travel and meeting logistics. Executive Meeting Support Prepare executive briefing summaries before meetings, including agendas, attendee information, objectives, background information, and required materials. Ensure the CEO is fully prepared to represent the organization professionally. Attend meetings virtually as requested. Take detailed meeting notes. Prepare meeting transcriptions, consultation summaries, and executive recap reports using organizational templates. Track action items, responsible parties, and deadlines. Executive Communications Answer incoming telephone calls during business hours. Monitor voicemail, shared inboxes, and electronic faxes. Screen and route communications to the appropriate staff member. Schedule meetings and consultations on behalf of the CEO. Maintain excellent customer service and professional communication with clients, partners, funders, vendors, and community members. Executive Operations Maintain the CEO's executive dashboard. Track projects, grants, contracts, deadlines, and follow-up items. Conduct research for executive projects and strategic initiatives. Prepare executive reports and summaries. Monitor delegated tasks and ensure follow-through. Participate in weekly executive planning meetings with the CEO. Technology & Digital Operations Utilize Google Workspace, Slack, Adobe Acrobat Pro, Microsoft Office, Zoom, DocuSign, AI productivity tools, and project management software. Organize Google Drive folders and maintain digital filing systems across all organizations and projects. Maintain organized records and ensure important documents can be located quickly. Coordinate user access to Google Workspace, Slack, social media platforms, Amazon Seller Central, websites, and other digital systems. Route documents for electronic signature and submit authorized documents electronically. Product & Information Management Maintain digital records for products, publications, wellness kits, and inventory. Keep product information and digital assets current. Coordinate with the Executive Assistant/Errands Clerk regarding inventory, shipments, and operational needs. Executive Partnership Know where the CEO is, where the CEO needs to be, and what preparation is required. Anticipate executive needs and proactively prepare materials. Help locate documents, contracts, presentations, reports, contacts, and information quickly. Coordinate closely with the Executive Assistant/Errands Clerk to ensure seamless support.
