Position Overview We are seeking a highly organized and detail-oriented HR Coordinator to support onboarding, scheduling, and administrative functions for a new client account. This role plays a key part in ensuring a smooth and positive onboarding experience for new hires while maintaining accurate records, coordinating schedules, and supporting day-to-day HR operations. The ideal candidate thrives in a fast-paced environment, excels at multitasking, and demonstrates strong communication and client-facing skills. Key Responsibilities Coordinate and facilitate the onboarding process for qualified candidates, ensuring all pre-employment requirements are completed accurately and on time. Serve as a primary point of contact for new hires, providing guidance throughout the onboarding process and addressing questions or concerns. Maintain and update candidate and onboarding trackers, ensuring accurate reporting and visibility of recruitment and onboarding progress. Assist in managing and updating session schedules, ensuring staff and client availability are properly documented and reflected in scheduling systems. Support workforce scheduling by monitoring availability, maintaining staffing records, and following up with new hires regarding onboarding milestones. Create and maintain new hire profiles, distribute orientation materials, and coordinate communication between HR, new employees, and assigned teams. Provide administrative support by preparing and distributing reports, updating staff lists, sending reminders, and maintaining scheduling and personnel records. Ensure all records, documentation, and communications are handled accurately, professionally, and in compliance with company standards. Client and Employee Communication Skills: Comfortable interacting with clients, candidates, and internal teams in a professional and service-oriented manner. Administrative Experience: Previous experience in administrative support, including data entry, spreadsheet management, scheduling, recordkeeping, and staff communication. Strong Organizational Skills: Ability to maintain accurate records, track multiple workflows, and follow through on tasks with minimal supervision. Proficiency with Microsoft Office and Google Workspace: Experience using spreadsheets, documents, calendars, and communication tools to support daily operations.
