Responsibilities Accounts Payable Review incoming supplier invoices and enter supplier bills into Xero accurately. Ensure invoices are correctly coded, approved and matched to purchase orders or supporting documentation where required. Identify missing purchase orders, incorrect pricing, duplicate invoices, freight discrepancies or invoice queries. Follow up internally for missing information or approvals without waiting to be chased. Liaise professionally with suppliers regarding invoice queries and statement differences. Review supplier statements and reconcile supplier accounts. Maintain accurate supplier records in Xero and flag any bank detail changes for management approval. Ensure invoices are ready for management review and payment approval. Batch Payment Preparation and Cash Control Prepare supplier batch payments for review and approval for both mid-month and end-of-month payment runs. Ensure payment batches are prepared at least 3 business days before the required approval/payment date. Confirm invoices in the batch have been checked, coded, reconciled and approved. Prepare clear payment summaries showing total payment value, urgent items, disputed items, due dates and cash impact. Flag overdue, urgent, disputed or strategically important supplier payments. Ensure payments are not released without the client's management approval. Update payment records once payments are made and send remittance advice where required. Maintain a rolling view of upcoming supplier commitments so management can plan cash before payments fall due. Accounts Receivable and Debtor Management Assist with preparing and issuing client invoices where required. Ensure invoices align with purchase orders, quotes, job details, delivery information or claim requirements. Follow up internally for missing information needed to invoice clients quickly and correctly. Allocate client payments in Xero and maintain accurate receivable records. Monitor aged receivables and identify overdue client accounts. Send payment reminders and follow up outstanding monies by email and, where appropriate, phone. Record debtor follow-up notes and maintain clear next-action dates. Escalate overdue, disputed or non-responsive accounts to management early. Prepare debtor summaries that show collection priorities and expected cash-in timing. Cash-Flow Forecasting Prepare and maintain a rolling weekly cash-flow forecast. Forecast expected cash in from debtors and expected cash out for suppliers, wages, tax, finance commitments and other recurring expenses where information is available. Update forecasts weekly using Xero, aged receivables, aged payables and information provided by management. Identify upcoming cash shortfalls, pressure points and high-risk debtor dependencies. Highlight delayed invoicing, slow-paying clients, large supplier commitments and timing issues that affect cash. Present the forecast in a practical format that management can understand quickly and use for decisions. Continuously improve forecast accuracy by comparing forecast cash movements against actual cash movements. Weekly Management Tools and Profitability Reporting Prepare weekly management tools and dashboards covering cash position, aged receivables, aged payables, upcoming payment commitments, debtor risk and key finance actions. Prepare weekly profitability indicators where information is available, including revenue invoiced, gross margin indicators, cost overruns, job cost concerns and expense trends. Support management with simple but useful reports that identify where profit is being made, lost or delayed. Flag jobs, product lines, expenses or supplier costs that appear to be affecting profitability. Prepare concise commentary, not just raw spreadsheets, explaining what the numbers mean and what requires attention. Help develop repeatable weekly reporting templates that can be used consistently by the client's management. Reconciliations Reconcile bank accounts in Xero. Reconcile credit cards. Reconcile supplier statements. Reconcile client payments and investigate unallocated receipts. Investigate unreconciled transactions promptly and escalate unclear transactions to management. Ensure bank and credit card reconciliations are completed by the end of the first week of each new month. Keep supporting documents attached and organised so accounts can be reviewed efficiently. Month-End Support and Management Accounts Ensure supplier bills are entered and correctly coded. Ensure client invoices are issued where required. Ensure payments and receipts are allocated. Complete bank and credit card reconciliations. Prepare aged payable and aged receivable reports. Assist with monthly finance summaries and management accounts preparation. Prepare variance notes or commentary where expenses, revenue or cash movements require explanation. Help ensure accounts are clean, current and ready for management reporting by the end of the first week of each new month. What we're looking for: Minimum 3-5 years accounting / finance experience, with at least 2 years supporting an Australian business. Strong Xero experience. Strong accounts payable and accounts receivable experience. Experience preparing payment batches and payment summaries. Experience with bank, credit card and supplier statement reconciliations. Experience preparing rolling cash-flow forecasts. Experience preparing weekly finance dashboards, management reports or Excel-based finance tools. Ability to support profitability reporting, job costing or margin analysis where information is available. Strong written and spoken English suitable for direct Australian business communication. Intermediate to advanced Excel skills. Able to work during agreed Australian business hours. Able to communicate confidently with suppliers, clients, internal staff and management. Able to manage recurring deadlines without constant chasing. Able to explain numbers clearly and escalate risks early.
